What are we looking for
The Kusnacht Practice provides exclusive, highly personalised care in a discreet and refined environment. To further strengthen our team, we are seeking an experienced Senior Medical Administrator. In this pivotal role, your proven expertise will ensure the precise coordination of medical services and operations, delivering exceptional service for our clients and dedicated support for our medical team and leadership.
Your Responsibilities
  • Personally coordinate internal and external medical appointments with partner hospitals, clinics, and external specialists
  • Manage the calendars and schedules of TKP medical doctors according to operational priorities and client needs
  • Overseeing the preparation, consolidation, and timely delivery of medical reports, discharge folders, and client documentation
  • Act as a key administrative partner to the Chief Medical Officer, ensuring efficient and well-coordinated day-to-day operations
  • Liaising with internal teams and external consultants to maintain service excellence
  • Guiding and supporting team members to ensure consistent workflows, standards, and routines
  • Monitoring and optimising medical administrative processes, identifying gaps and driving improvements
  • Supporting the Director of Clinical Operations, Quality and Compliance with on-call schedules and operational planning
  • Managing incoming medical and client-related correspondence and documentation
  • Overseeing invoice flow, budget tracking, and cost estimations in collaboration with finance
  • Assisting with internal audits, quality initiatives, and process improvements
  • Coordinating translations and medical visa documentation for international clients
You are/have
  • At least 10 years’ experience in medical administration or coordination, ideally within a private clinic or hospital environment
  • Exceptional organisational and communication skills in English and German (oral and written); additional languages are an advantage.
  • Highly structured, detail-oriented, and able to manage complex processes with precision.
  • Strong proficiency in digital tools (Microsoft 365, E-PAT or similar systems, ASF or equivalent finance tracking), with the ability to adapt quickly to new technologies
  • Proven ability to handle sensitive client and medical information with the utmost discretion and professionalism.
  • Skilled at prioritising and structuring workflows independently, while supporting and guiding others when required.
  • Solution-oriented, proactive, and committed to delivering the highest quality standards.
  • Must-haves: Valid Swiss driving licence and eligibility to work in Switzerland
